1. Who we are
KD Facility Services Pty Ltd (ABN 42 640 639 943), referred to as “KDFS”, “we”, “us” or “our”, operates the kdfs.com.au website and develops or supports services including SiSat and OHSFMS.
This policy applies to KDFS corporate activities and websites. A product may publish an additional privacy notice describing information handled within that service. Where there is a difference, the product-specific notice applies to that product.
2. Information we may collect
- identity and contact details, such as name, organisation, role, email address and telephone number;
- enquiry, support, contractual, billing and business relationship information;
- technical information, such as IP address, browser type, device information, timestamps and security logs;
- information supplied when applying for work, contracting with us or communicating with KDFS;
- other information you choose to provide.
3. How information is collected
We collect information directly from you, from an organisation you represent, through our websites and systems, from service providers acting for us, and from lawful public or commercial sources where appropriate.
4. Why we use information
- to respond to enquiries and provide requested information;
- to establish, administer and support customer, contractor and supplier relationships;
- to deliver, maintain, monitor and improve our websites, systems and services;

6. Overseas handling
KDFS seeks to keep core operational information and the production data of services making an Australian-hosting commitment within Australia. Some supporting technology providers may process limited account, diagnostic or communications information overseas. Product-specific notices identify stronger or different commitments where they apply.
7. Security
We use administrative, technical and physical safeguards appropriate to the information and risk. These may include encrypted connections, access controls, multi-factor authentication, logging, monitoring, backups, patching and incident response procedures. No internet-connected system can be guaranteed completely secure.
8. Retention
Information is retained only for as long as reasonably required for the purpose collected, contractual and operational needs, dispute management and legal obligations. It is then deleted, de-identified or securely archived as appropriate.
9. Access, correction and complaints
You may ask to access or correct personal information held by KDFS, subject to lawful exceptions. You may also raise a privacy complaint. We may need to verify your identity and authority before acting.
